We are seeking a highly organized and proactive Personal Assistant to provide comprehensive executive support to senior management, ensuring efficiency, confidentiality, and exceptional attention to detail in all administrative and operational matters.
Role Overview:
As a Personal Assistant, you will act as the key point of contact between the executive office and internal/external stakeholders. You will manage schedules, coordinate meetings, handle correspondence, and ensure the smooth execution of executive functions with discretion and professionalism.
Key Responsibilities:
Manage and maintain the executive’s calendar, appointments, and daily schedules.
Coordinate meetings, conferences, and travel arrangements (local and international).
Prepare correspondence, reports, presentations, and other professional documents.
Screen and prioritize emails, calls, and requests, ensuring timely responses.
Maintain strict confidentiality and handle sensitive information with discretion.
Act as a liaison between the executive office and internal departments.
Organize and manage filing systems (digital and physical) for easy document retrieval.
Support in preparing agendas, meeting minutes, and follow-up action plans.
Coordinate logistics for events, workshops, and business functions.
Monitor office supplies, budgets, and administrative expenses.
Prepare expense reports, purchase requisitions, and related documentation.
Handle visitors and clients professionally, ensuring a positive corporate image.
Conduct research, compile data, and provide briefings for decision-making.
Anticipate the executive’s needs and proactively manage priorities.
Support special projects, initiatives, and confidential assignments as required.
Qualifications & Skills:
Minimum 10+ years of experience as a Personal Assistant or Executive Assistant.
Strong organizational, time management, and multitasking skills.
Excellent written and verbal communication skills in English.
Proficiency in Microsoft Office Suite and digital productivity tools.
High level of discretion, professionalism, and interpersonal skills.
Ability to work independently and handle multiple priorities under pressure.
